Birchfield Woods Cluster Association Board Meeting Minutes for May 29, 2002

The following individuals attended the meeting:

The meeting was called to order at 7:30 PM.

The minutes of the previous meeting were accepted with the following change:

It's been 4-5 years since the two sets of delinquent homeowners have paid their dues. Doreen is sending letters which gives them 15 days and then will tell Harry Lowe to start the legal process. BWCA will go after the dues, late fees, court costs, and lawyer fees.

Old Business

The basketball hoop has been removed by the previous owner.

The parking bylaws need to be merged into the standard bylaws.

Brody Bueller (1616) will be asked to fill the vacant board member position.

Management Company: Jan will solicit new bids from the two competitive companies and get a third bid. All officers will then review the bids.

New Business

Bruce will call the electrician about the lights that are out.

Newsletter topics: parking (visitor registration and towing), maintenance form on web site, walkabout (results, common watches, number of watches and violations)

We now have a valid towing contract with Henry's Towing.

A maintenance request form will be added to the website. The form will allow residents to submit requests which will then be emailed to both Bill and Bruce.

In the effort to not tow visitor's cars, two ideas were brought up to allow for some sort of visitor vehicle registration. The first idea was to get parking passes from an officer. The second idea was to put a form on the website which would email all the officers pertinent information on visitors' cars. The form would be filled out by the person hosting the guest.

The report from the Walkabout Committee has been approved.

Letters will be mailed to owners who have not yet paid their dues.

The Maintentance and Improvement Committees will meet and create a list of items.

The tot lot is in need of mulch. The discussion has been tabled until the Maintenance committee meets.

Easterns has not been taking care of all the common areas (including, but not limited to, the area near Jan and Woody.)

Blade Runners said they would replace three dead barrier trees by June.

The treasurer's report was approved.

There is room in the budget for perimeter control to be done this year. Marggi will call Easterns to make the arrangements to have this done.
