Book Review by Betty Travis

Outlook is Not Just E-Mail!

Outlook, just E- Mail? Oh no, it is a lot more than that! Outlook is a personal information manager with endless possibilities for customization. It will organize you, record all contacts, be your address book, your daily calendar and do time management with tracking task ability. It enables you to journal, take notes and use Newsgroups. Outlook 2000 Bible is a reference manual, which would be useful to the beginner through the advanced user. I found the "many screen captures" very helpful as a picture is worth a 1000 words.

Step-by-Step Instructions

How would you like a book that has pictures and complete instructions on the Program Window, How To's, Step by Step? You can position this book by your screen and go through step by step. There are explanations with pictures of the drop down menus and functions available in the window interface for the very beginner. It will walk you through the e-mail capabilities, address book, calendar and scheduling, and so much more, for example:

· Certificates are available (a digital ID for secure messaging)
· Multiple distribution lists setup
· Remote mail setup- only download messages you want at that time
· Junk mail handling and . . . With beginner to advanced instructions, you can also: · Build a custom form using custom fields, validate user input and password protect or select one of the built-in forms. · Use colors to organize your folders
· Select different views, choose Web view, surf · Send pages via e-mail · Add shortcuts on your toolbar to a favorite page.

 Integration and Application Building!

Outlook easily integrates with Office (Access, etc.) for a variety of tasks. The Contacts/Address book mail merge for database needs is very simple. Collaboration is made possible. (Sharing of ideas and information in discussion folders for business purposes with tracking folders enables you to keep track of documents and contracts, for example, to complete a certain task. All participants are informed, in tune and a part of the process.)

What's New?

There are formatting options: Text, Word Native format (.doc), comprise as .rtf (Rich Text Format) or HTML. You may alter these options, message by message, or send all HTML. Messages can be sent with or without stationery:

Once you choose stationery, that will remain until you make the change. (There are many to choose from on the CD, or connect to the WEB.)

There are many improvements on the usability of enhancements:
1. You may request delivery and read confirmations
2. Select from your multiple signatures list - found under >Tools>Options>Mail Format
3. Auto Reply is available and much more. . . .

 Comes with CD Rom including:

1. An electronic Copy of the book in PDF format with Acrobat Reader to read those files
2. Many sample files are included to create custom applications (form samples, control samples, application folder samples, CDO Visual Basic Sample)
3. Full copy Internet Explorer

For the Advanced User:

There are many chapters devoted to the advanced user. Chapters included are: getting VB (Visual Basic) Help, Introduction to the OFD (Outlook 2000 Forms Designer) Script Editor/Debugger and COM (Component Object Model, described as a blueprint of an application). You can modify behaviors of the form with the Actions Page inside the OFD (post to a folder, reply to sender, forward to another user or reply to all recipients).

As in other Microsoft applications, you have complete access for your form and fields to the Command Buttons and Controls Toolbox. But, again, for a beginner, it goes as far as to explain functionality with picture examples of many controls (labels, frames, text boxes, option buttons, tab strips, list boxes, combo boxes, multi page, spin buttons, toggle buttons, etc.). You can link a form to a contact, use combination fields (first- last name), specify defaults, or formula fields (perform calculations), etc.

This book is an excellent reference. I will be sharing it with our Office SIG and will be using it throughout the next few months in our teaching/sharing process. I'm off to get rid of my old mail service, start a management system and get organized with Outlook!
