What is a Medical Transcription?
Medical transcription is the process in which the medical records that are dictated by doctors, others are converted to documents in required format.
What options does your medical transcription service offers for dictation capturing?
You can either dictate directly into our dial-in dictation servers via toll free telephone line, via cell phone or you can use digital handheld recorders.
What is the timing of your toll free dictation system operation?
You can access our dictation systems at 24x7 and dictate your records from anywhere and at anytime by using a touch-tone phone or a cell phone at your convenience.
Do you provide HIPAA complaint medical transcription services?
Yes, we have executed some technical as well as administrative actions following the HIPAA regulations in order to safeguard the privacy and personal health information about the patients.
How can be the dictation transferred to you?
If you use the toll free dial-in systems, our transcriptionists can access your dictations at the moment you hang up on the line. Otherwise you can upload your dictations in to our secured FTP servers, if you use handheld recorders for dictation.
What are security measures taken by you while transferring the data ?
While you send your dictations from your computer to our secured servers or when your dictations are downloaded by our administrators from our US dial-in servers or FTP servers, 128 SSL encryption of data or 256-bit AES encryption of data is performed.
Are there any redundancies for your dictation and FTP servers?
Yes, our secured servers are built with fault tolerant, mirrored drives. So we have a ready redundant system in case of any failures and a backup system if primary system fails.
How are your fees based on?
Our fees are normally based on per line, but we also offer quote per page, per minute of dictation, etc., depending on client requirements.
Do your medical transcriptionists sign confidentiality agreements?
Yes, all of our transcriptionists and other staffs sign on non-disclosure and confidentiality agreements before working with us which is effective for two years post their disassociation from the company.
What quality measures do you undergo?
We have three levels of word-by-word quality check performed by our senior editors and proof readers. The Transcribed documents are checked for any spelling errors, omissions, and formatting, etc., before they are uploaded.
Do you have any sub-contractors for our transcription work?
No, every transcriptions are processed in our office, so we have better security and control over patient information.
How long do you maintain our dictations and transcripts?
We usually delete voice files in every eight weeks and the transcripts in every six months. Although, it is left to the clients to decide how long we should archive their dictations and transcription charts.
How long you take to accommodate us?
We accommodate you with up to 10 doctors right now and can handle further doctors within a very short period of time.
How can I be confident of your Internet security issues?
All communications between your computer and our server is protected with Secure Socket Layer encryption (SSL). No one can “listen in” the conversation between the computers. You can confirm this by looking for the little padlock icon used by the Netscape and the Internet Explorer to designate a secure site. When you register with us you can get the advantage of this security and be assured that your data and patient information will be encrypted.
What is the turn-around time of your medical transcriptions?
General transcriptions will be available for your review and printing before 9 AM the following day, which will be less than 24 hours turn-around time.
What is your average turn-around time?
We provide excellent turn-around time of about 24 to 48 hours guaranteed.
What turnaround times do you offer?
We give you a facility of next day reporting (practically 12 hour turnaround time while charging for 24 hour turnaround time), for example, you will get back the reports at 9.00 am irrespective of the time you dictated them the previous day, from 9.00 am to 9.00 pm. You can also select turnaround times to meet your needs – 48 hour, 24 hour, 12 hour . You may choose different default turnaround times by report type or you can specify that with each report.
What is the cost of your service?
Some of our competitors charge you per hour of work—we charge per hour of tape. We think our system is better because you know upfront how much your project is going to cost. Other companies will give you a low price per hour and tell you that it will take them 4 to 6 hours of work per hour of audio. However, most of the time, they'll get back to you when the project is complete to tell you that, due to the bad quality of the audio or whatever other reason, they spent 7 or 8 hours per tape. At this point, it will be too late to change your mind.
How much can I save by outsourcing transcription services to you?
Our research indicates that the in house transcriptions can cost as high as 40cents per line. Our competitors in this field charge up to 17cents per line. But our service can run as low as 8* cents per line. This means that you can save 25 to 60% from anywhere.
Are there any other fees included?
NO.
Payment can be made by Money Transfer/DD/Money Order/Western Union and such devices as may be discussed during the bidding process.
