TIP: JUMP TO THE HEAD OF THE LIST

As you work in Quicken, your lists can quickly become unruly. The Categories list, for example, can easily grow to contain over a hundred entries. Likewise, searching for a transaction in the lengthy Memorized Transaction list is enough to drive you batty. Here's what you can do to cut down on the clutter:

To quickly jump to any section, simply type the first letter of the transaction or category you are looking for. For example, if you are looking for a payee named Patty's Pizza Parlor, simply type the letter P to jump to the first listing that starts with the letter P.

TIP: CHANGING THE DETAILS OF A PAYCHECK

In one of our previous tips, I showed you how to change the details of Quicken's memorized paycheck amount when these amounts vary on an infrequent basis. If the changes are permanent--for example, if you get a raise or increased your retirement deductions--then you have to change the specifics of the actual memorized paycheck transaction. To make permanent changes to a paycheck setup:

1. Choose Lists + Memorized Transaction.
2. Locate your paycheck transaction in the list and select it.
3. Click the Padlock icon in the Lck column to unlock the transaction.
4. Click the Edit button.
5. Click the Split button in the Edit Memorized Transaction dialog box.
6. In the resulting Split Transaction window, make the changes as necessary
to the amounts.
7. Click the Adjust button to adjust the total amount of the deposit so that it
reflects your changes.
8. Click OK twice. Back at the Memorized Transaction List window, you can
see that the amount of the transaction has been adjusted to reflect your
changes.

9. Click the Padlock icon again to relock the transaction.
The next time you want to record a paycheck deposit, Quicken uses the
new amount.

TIP: THE END OF THE MONTH BLUES

Howie F. of Brooklyn, NY recently asked if there was a quick way to see whether any money is left over at the end of the month. Sure is.
You can use Quicken's EasyAnswer reports to do just that. When you want to see how much cash you have on hand at the end of the month, here's what you do:

1. Choose Reports + EasyAnswer Reports.
2. Select Where Did I Spend My Money? in section 1.
3. Select Last Month in the For the Period box of section 2.
4. Click Show Report.

Quicken generates a cash flow report that details all your cash inflows (or income) for the month and all your cash outflows (or expenses). The overall total calculated at the bottom of the report reflects the total cash that you have on hand at the end of the month.

TIP: Special Payee Report

Sometimes we want to see exactly where our money came from and where it went. For example, when generating the monthly Cash Flow report, we prefer to see the names of the restaurants we frequented and the amount spent at each establishment rather than have them all lumped together in the Dining category. Fortunately, Quicken can accommodate our wish. Normally, when you create reports, Quicken automatically organizes the information by category. But you can easily change this so that it lists transactions by payee.

To create a payee report:

1. Generate the report as you normally would. For example, choose Reports +
Home + Cash Flow and then click the Create button in the Create Report dialog
box.
2. Click the Customize button to display the Customize Cash Flow Report dialog
box.
3. Select the Display tab, if necessary.
4. Select Payee in the Row field of the Headings section.
5. Click Create.
Quicken redisplays the report, this time organized by Payee. If you have multiple transactions paid to a single payee, Quicken tallies all the totals together.

TIP: CHANGE YOUR HEADINGS

Just as you can change the way Quicken organizes the rows of information in a report, you can also change the columns. Say, for example, that you wanted to display your transaction amounts on a weekly or monthly basis. You can easily change the column headings to accommodate this.

To change your column headings:

1. Generate the report as you normally would. For example, choose
Reports + Home + Cash Flow and then click the Create button in the
Create Report dialog box.
2. Click the Customize button.
3. Select the Display tab (if necessary) in the Customize Cash Flow Report dialog
box.
4. Select the appropriate choice in the Column field of the Headings section. For
example, if you want your cash flow report to show column totals for two-week
periods, select Two Weeks from the dropdown list.
You can also have the report list your totals by quarters, months, or other time
periods.
5. Click Create.

TIP: THAT'S THE WAY I LIKE IT

As the past two tips have demonstrated, you can make a number of changes to your report settings in order to get just the report you want. But is there more? For example, a subscriber recently asked whether it was possible to change the row and column headings used in a report. In particular, she wanted to remove the lines labeled Inflows and Outflows. Although you can't edit these particular lines yourself, you can export the contents of the report to your favorite word processing or spreadsheet program and then format the report as you see fit:

1. Generate the report as you normally would. For example, choose Reports + Home + Cash Flow and then click the Create button in the Create Report dialog box.
2. Click the Copy button in the Button bar to copy the contents of the current report to the Clipboard.
3. Switch to your word processing or spreadsheet program.
4. Choose Edit + Paste.

The contents of the Clipboard--in this case, your Quicken report--are then pasted into the current document. Keep in mind that you lose a significant amount of formatting when you perform this procedure. However, your word processing and spreadsheet programs have enough formatting tools to enable you to design just the report you need.

TIP: SWITCHING TO A FISCAL YEAR

Want to track your finances by fiscal, rather than calendar, year just as they do in the business world? You can easily set up Quicken to do so. What's more, you can also specify the starting month of the new fiscal year.

To use a fiscal year calendar:

1. Choose Edit + Options + General.
2. Select the Settings tab.
3. Select Fiscal Year in the Working Calendar section.
4. Select the Starting Month of the fiscal year.
5. Click OK.

Now, when Quicken generates reports and performs year-end calculations, it bases its reports on the new fiscal year you specified.

TIP: GET TO THE FULL BLOWN WEB

When you access the Web from within Quicken, it appears in its own
tabbed window in Quicken, much like your check register and other
accounts do. Quicken is using its own limited embedded browser tool to
provide you access to these Web pages. However, you can launch your
own browser and go off and do your own thing on the Web as well.
* To launch a full-blown version of Internet Explorer, click the Full
Browser button, located in the Button bar just above the browser
window. So when you click this button, you gain access to all the
features of Internet Explorer, including your saved bookmarks as well
as the ability to go to other Web sites.
* To return to the Quicken window, click the Return to Quicken button
(in the upper-right corner of the screen).

Keep in mind that you have to exit from the Internet Explorer program
separately. To do so, choose File + Close.

TIP: REACTIVATING THE WEB


One of the cool things about Quicken's Web connection is that any of
the Web services you activate remain displayed in a Quicken window.
Even after you disconnect from the Web, you can still access the
displayed information by clicking the tabbed window. To reactivate
your Web connection from a particular window, simply click any link
that may be displayed in the window. This action relaunches your ISP
connection and then the page in question.

TIP: IN THE MARKET FOR A MORTGAGE?


Eager to jump on the real estate bandwagon? Then you'll want to check
out the Quicken Mortgage Center Web site. Similar to the InsureMarket
site, with the Mortgage Center you can compare loans, see how much
house you can afford, and see whether refinancing is right for you.

To access the Mortgage Center, choose Online + Quicken on the Web +
Mortgage Center. To get around in the Mortgage Center, simply click
the appropriate links.

TIP: GIVE YOUR CALENDAR SOME BREATHING ROOM

If you're the visual type, Quicken's Financial Calendar can be a real
time-saver when it comes to managing your finances. You can view
upcoming scheduled transactions, as well as transactions that have
already been recorded in your check register. You can also annotate
certain transactions with important information.. But your Calendar
can easily become jammed with information. You can cut down on some of
the clutter in the Calendar window itself and give yourself some elbow
room at the same time by turning off the display of specific window
elements. For example, you can remove from the display the memorized
transaction list that usually appears alongside the Calendar in the
window.

To give yourself some elbow room:

1. Choose Features + Reminders + Financial Calendar to switch to the
Calendar window.
2. Click the View button.
3. Deselect Show Memorized Transaction List.

Quicken removes the Memorized Transaction List from the Calendar
window. Note how the Calendar expands to use the available space in
the window. Nice, huh?

TIP: CUT DOWN ON CALENDAR CLUTTER--PART 1 OF 2


In our last tip, we showed you how to reduce Calendar clutter by
removing the Memorized Transaction List from the Calendar window. In
this tip, we show you how to reduce the amount of information that is
actually displayed on the Calendar itself.

Suppose that you want to see only transactions that have actually been
recorded in your account register--and not a display of upcoming
scheduled transactions as well. To remove scheduled transactions from
the Calendar:

1. If necessary, choose Features +Reminders + Financial Calendar to
display the Calendar.
2. Click the View button.
3. Deselect Show Scheduled Transactions in Calendar.

Quicken removes from the Calendar's display any upcoming scheduled
transactions and displays only those transactions that have been
recorded in your account registers.

TIP: CUT DOWN ON CALENDAR CLUTTER--PART 2 OF 2



Our last tip showed you how to reduce the amount of information in
your Financial Calendar's display window by displaying only those
transactions that have actually been recorded in your account
registers. In this tip, we show you how you can choose exactly which
recorded transactions appear. Say, for example, you want to display
only those transactions that occur on a regular basis--rather than
every single transaction you've ever recorded. You accomplish this
task by making changes to the Memorized Transaction List:

1. If necessary, choose Features + Reminders + Financial Calendar to
display the Calendar.
2. Click the View button.
3. Choose Edit Memorized Transaction List.
4. Locate the first transaction that you want to remove from the
Calendar view and click the Cal column to remove the Calendar icon
from the transaction. With the Calendar icon gone, the transaction
does not appear on the Calendar.
5. Repeat Step 4 for each transaction you want to remove.

Just as we recommend that you produce a hard-copy printout of your
account registers on a fairly regular basis, we also suggest that you
occasionally print out a copy of your Calendar.

To print the Calendar:

1. Choose Features + Reminders + Financial Calendar to display the Calendar. 2. Use the Prev Month and Next Month buttons to switch to the Calendar month you want to print. 3. Click Print. 4. In the Print dialog box, click the Preview button to preview the printout. 5. If all is up to snuff in the Preview window, click Print. Otherwise, click Close to return to the Calendar window. Quicken produces a hard copy of your Calendar. All your transactions appear on the day on which they occurred. Quicken also generates a report of all the transactions.

In our last tip, we showed you how to produce a hard-copy printout of your Calendar. In this tip, we show you how to print a blank Calendar, which can be a handy reference tool for planning to pay your bills. You could even tape it to your fridge for jotting down appointments and whatnot. To print a blank Calendar: 1. Choose Features + Reminders + Financial Calendar to display the Calendar. 2. Switch to the appropriate month you want. 3. Click the Print button. 4. In the resulting dialog box, click OK to print the blank Calendar. ______________________________________________________________________________

Today, we show you how to print a blank copy of a Calendar month, even if that month currently
has associated transactions. 
 Simply turn off the Calendar's display of transactions, print the Calendar, and then turn on the
display again:
1. Choose Features + Reminders + Financial Calendar to display theCalendar.
2. Switch to the month you want.
3. Click the View button and deselect the options Show RecordedTransactions in Calendar and
Show Scheduled Transactions in Calendar.
4. Click the Print button.
5. Click OK to print the blank Calendar.
6. When finished printing, repeat Steps 1 and 2.
7. Click the View button and select the Show Recorded Transactions in Calendar and Show
Scheduled Transactions in Calendar options.

change the appearance of your printed Calendars. In particular, you can change the font, font
style, andsize of the Calendar text:
1. Choose Features + Reminders + Financial Calendar to display theCalendar.
2. Switch to the month you want.
3. Click the Print button.
4. In the Print dialog box, click the Body Font button.
5. Using the Font, Font Style, and Size buttons, make the appropriate selections. The Sample box
shows you how your text will look.
6. Click OK.
7. Click OK again to print the Calendar.
