The meeting was called to order by Sara J. MacDonald (University of the Arts), 1996 division moderator. The first item of business was the election of new officers. Deborah Johnson (Ringling School of Art and Design), 1996 co-moderator, was not able to step into the position of Moderator due to a job change. We all wish Deborah well in her new career.
Melissa McDonald (Savannah College of Art and Design - melismcd@aol.com) is the 1997 Moderator, and Greta Earnest (Pratt Institute - gearnest@pratt.edu), is the new Co-Moderator. Kathryn Heuer (Minneapolis College of Art and Design - kathy_heuer@mn.mcad.edu) is the 1997 Column Editor.
Mary Graham, ARLIS/NA Vice-President/President Elect, is our liaison to the Board. All proposals for the Philadelphia conference are due May 31, as well as any funding requests. ARLIS Update items are due between April 10-15. Handbook changes need to be in to Headquarters by June 10.
Old business included a discussion of the Strategic Plan. Unfortunately we were not included in several sections of the Strategic Plan such as bibliographic instruction, WWW, statistics, and accreditation (NASAD). Hopefully we will be included next year. We will re-submit the items from Mary Manning's notes of 1996.
It was noted that we were not mentioned in this year's program for co-sponsoring the workshop, "Sharper and Clearer: Focusing Your Presentation Skills" and that we should try to ensure that an awareness of the division is heightened.
Greta Earnest (Pratt) reported on the Automation/Technology survey she had volunteered to conduct last year. This survey was sent to all schools in the Art and Design School Library Division in the 1996 Handbook in mid-February. The idea was to find out which CD-ROMs and automated systems were being used. The survey is currently in draft form. ARLIS/NA Webmaster Ed Teague thought it would be a good idea to add the survey to the ARLIS web page. Note: There is a good example of a posted survey on the University of Minnesota website. It was decided that Greta would complete reviewing the survey and send it to Ed Teague. Any clarifications or revisions would be sent to her and then to Ed.
Laurie Whitehill (Rhode Island School of Design - RISD) reported on the "Sharper and Clearer" workshop which she and Sara MacDonald organized. Dr. Erin Porter from the University of Texas at Austin led the workshop, which included videotaping the participants giving a short presentation. All attendees agreed that it was a very successful workshop.
Carol Terry (RISD) reported on the $109,541 archives grant which RISD was awarded by the NHPRC (National Historical Publications and Records Commission). This grant will pay for two full time staff for two years to organize and create the RISD archives. She will keep us updated through ARLIS-L and Art Documentation.
Carol Graney (University of the Arts) from the Professional Development Committee has brochures on careers in art librarianship which will be sent to all the Art and Design School members. She would like us to encourage any art students who may have not thought about art librarianship as a career.
It was decided that it would be a good idea to continue with "the notebook" to compile worksheets, reports, orientation documents, etc. Please send all documents to Sara MacDonald. In addition, all ARLIS/NA members are encouraged to send bibliographic instruction/reference documents to LOEX (the Library Instruction Clearinghouse), as ARLIS/NA now has an institutional membership we can all take advantage of [see ARLIS/NA Update, Feb. 1997, p. 11 for details]. LOEX would especially appreciate any materials on Internet training. It was decided not to continue the non-art books bibliography project.
New business brought up conference session ideas for the 1998 ARLIS/NA conference in Philadelphia. Conference session ideas for Philadelphia included 1) a joint VRA session about slides; 2) digital projects and how they are incorporated into the curriculum; 3) a panel session on art education in art and design schools; 4) distance learning with visual material (Jill Patrick, Ontario College of Art and Design, suggested postponing this idea until the Vancouver conference since distance learning is especially important in Canada); 5) a session on core videos and CD-ROMs. Everyone who proposed an idea was supported and reminded that if you want to propose it, you also have to organize it! :-)
There may an ARLIS-member art exhibit organized by Martha Hall during a welcome party at the University of the Arts in 1998. It will probably not be possible to have an art auction because we would not be able to raise any money from this event. A good deal of interest was expressed in a tour of several Philadelphia Art and Design Division colleges. This would eliminate the need for a scheduled 3chat session.2
In regard to the Art and Design portion of the Website, after discussions between Sara and Ed Teague it was decided that we should let Ed know what we want to add and not create our own page.
The meeting was adjourned at 11:15.
