Final Points about E-Mail | Contact Information | Website of Interest | |
We have discussed the parts
on an e-mail and some general rules related to e-mail. You
should also be aware that there are other forms of electronic
communication.
Audiences vary, of course. Electronic communication has a variety of forms, each with a different structure and different requirements. |
|
Standard E-mail | In this format, a user can communicate with a single correspondent or with a group by exchanging messages across a computer network. Communication is asynchronous—each user has an electronic mailbox, either in a personal computer or in a central computer to which terminals are connected. Messages are stored in the mailbox until the user accesses them. |
Mailing Lists | A mailing list is a list of e-mail addresses of people interested in the same subject.
Mailing lists can be public or private, and involve as few as two people or many thousands. Mailing lists are often used to provide subscribers with current information. With announcement-type lists, you receive messages, but can't post to the list yourself. With discussion-type lists, everyone on the list can participate. When a list subscriber sends a message, it goes to everyone on the list. You can reply to the messages, send new messages, or just read the messages without participating. |
Chat Rooms | These are electronic meeting places where groups of people sharing a particular interest can hold a conversation. Chat rooms are not asynchronous—they take place in real time. As many as two dozen people can talk at the same time, with messages overlaying one another on the screen in a visual version of “room noise.” Because the discussions can only take place sequentially, participants often find themselves lagging by several lines. They may respond to one remark only to find two or three other responses, or even entirely new topics, have appeared on the screen in the meantime. In this way, responses can appear without context and can get lost in the noise. |
Instant Messaging | Instant Messaging software allows you to track when another person logs on and logs off of the internet. Some software also gives you the convenience of sending files back and forth to one another.
Businesses have found that this is the most cost-effective and convenient way to stay in touch with telecommuters and traveling employees. Instant messengers have also touched the hearts of families by creating a great way to stay in touch with grandma who lives several miles away and enabling communication with a child who is attending an out-of-state college without breaking the family budget. |
